1. JOB TITLE: Domiciliary Care Administrator
Job Purpose:
To provide administrative and operational support to ensure the efficient running of domiciliary care services, assisting in the coordination of care provision and ensuring compliance with relevant regulations and standards.
RESPONSIBILITIES:
1. Scheduling & Coordination:
• Organize and maintain care staff rotas, ensuring timely allocation of carers to clients.
• Respond to any changes in client requirements or carer availability, adjusting schedules as necessary.
• Communicate effectively with carers and clients about scheduling updates or changes.
2. Client & Carer Support:
• Act as a point of contact for clients, carers, and external stakeholders.
• Handle client inquiries, complaints, and concerns professionally, escalating issues as needed.
• Support new carers with their onboarding and induction processes.
3. Compliance & Documentation:
• Ensure all care plans, risk assessments, and client documentation are up to date.
• Maintain accurate records in compliance with regulatory standards (e.g., CQC in the UK).
• Assist with ensuring all carers’ credentials (e.g., DBS checks, certifications) are current and recorded.
4. Administrative Tasks:
• Manage day-to-day office operations including answering calls, emails, and processing paperwork.
• Maintain and update databases, client records, and care management systems.
• Prepare reports for management regarding service performance, staff schedules, and client feedback.
5. Payroll & Invoicing:
• Assist with the preparation of payroll by ensuring carers’ hours are accurately recorded.
• Support the invoicing process by tracking service hours and ensuring billing is correct.
6. Team Support:
• Support the management team in the recruitment, training, and supervision of care staff.
• Provide clerical support to ensure that meetings, training sessions, and reviews are organized efficiently.
7. Health & Safety:
• Assist in maintaining a safe working environment by adhering to all health and safety protocols.
• Ensure carers and clients are informed of any health and safety updates or requirements.
KEYS SKILLS & COMPENTENCIES:
• Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and handle frequent changes.
• Communication: Strong verbal and written communication skills to interact with clients, carers, and other stakeholders.
• Attention to Detail: Ensuring accuracy in documentation, schedules, and compliance records.
• IT Proficiency: Familiar with Microsoft Office (Word, Excel) and care management systems.
• Problem-Solving: Ability to resolve scheduling conflicts and client concerns swiftly and professionally.
• Team Player: Willingness to work collaboratively with a team and support colleagues.
QUALIFICATIONS & EXPERIENCE:
• Previous experience in an administrative or office support role, ideally in healthcare or social care.
• Experience in using scheduling systems or care management software is an advantage.
• Understanding of the regulatory environment surrounding domiciliary care services.
• High school diploma or equivalent; further education or administrative qualifications are a plus.
WORK ENVIRONMENT:
This role is typically based in an office environment but may require occasional visits to clients’ homes or care locations to support care coordinators or management.
2. JOB TITLE: Domiciliary Care Worker
ACCOUNTABLE TO: Clinical Lead Manager / Supervisor
RESPONSIBILITIES:
1. To provide a Service of Care to service users to enable them to lead as independent a lifestyle as possible. This Care Service will involve a programme of personal care and household management that is personalised for each service user in the form of a Care Plan. Care duties will therefore include assisting the service user with the following activities and in so doing will at all times observe and respect the service users’s dignity, privacy and independence as far as practical:
1.1 Personal Care: Dressing and undressing / preparing the service user for Day Care or trips out. Washing / bathing / showering / shaving / grooming / cleaning teeth. Hair care (washing / brushing). Nail care (fingernails only). Toileting and all aspects of personal hygiene. Continence management. Care of pressure sores (under appropriate nursing supervision). Getting in and out of bed. Assisting with the use of Aids to Daily Living / Rehabilitation Aids, as required. Helping with rehabilitation programmes, as prescribed by Healthcare professionals. Day / evening / night sitting services, as required
1.2 Healthcare - assisting the service user to take prescribed medication.
1.3 Dietary Care: Preparation of snacks and meals according to the service user’s likes / dislikes. Assisting with feeding, as required.
1.4 Domestic / Household Services: General cleaning duties, to include cleaning / dusting / vacuuming / polishing. Bed-making. Clearing refuse and rubbish. Laundering / Hand-washing / Ironing / Light needlework, as required. Fuel Management. Shopping, and the preparation of shopping lists and assistance with budgeting. Light gardening tasks (subject to previous agreement at the Care Plan stage).
1.5. Personal services: Assistance with personal finances, to include paying bills, collecting pensions. Personal planning (birthdays / anniversaries etc) Democratic rights (voting cards etc).
2. To conform to all Policies and Procedures laid down by the Organisation detailed within the Company’s employee handbook and Health & Safety handbook in respect of carrying out these Care Duties and in other administrative aspects of the business, as relevant.
2.1. To participate as directed by the Domiciliary Care Services Manager / Supervisor in Induction Training and regular In-service Training programmes.
2.2. To maintain accurate, concise and timely records of service user care, diary sheets, time sheets and mileage sheets.
2.3. To participate in Staff, Team and Quality Management Review Meetings as directed by the Domiciliary Care Services Manager / Supervisor.
2.4. To report back to the Domiciliary Care Services Manager / Supervisor on any aspect of service user care which he / she feels warrants investigation or urgent action.
2.5. To participate in reviews of service users’ Care Plans as required.
